SYSPRO ERP alternative for small manufacturers deciding before the move to named user subscriptions
ProductionPlanning.ai is a SYSPRO ERP alternative for small plants whose real problem is late orders, not the general ledger. SYSPRO is a full ERP for manufacturers and distributors, and in July 2026 it gave formal notice that it is ending its license fee model: US customers keep their current license until December 31, 2026, then it is a named user subscription or a move to something else. Third party estimates put that subscription at 75 to 250 USD per user a month. We schedule every machine against its real shifts and setups, from 149 USD per plant a month with unlimited users. The comparison below includes the plants that should stay on SYSPRO.

What SYSPRO is, and who it is built for
SYSPRO is ERP software for manufacturers and distributors, sold for almost 50 years and now marketed as a cloud first platform. Its own site lists food and beverage, automotive, industrial machinery, electronics, packaging, plastics and rubber, metal and fabrication, and chemicals. ERP Research places it with manufacturers and distributors of 50 to 500 employees. It covers financials, inventory, purchasing, MRP, quality and traceability, and its Manufacturing Operations Management product adds finite capacity scheduling, shop floor data collection and OEE reporting. That is a whole business system. If you are pricing it, or repricing it, because orders keep shipping late, it is fair to ask how much of it you need to fix that.
What the SYSPRO licensing change means for a small plant
SYSPRO published a formal customer notice on July 15, 2026. These are its terms, taken from the notice itself.
| Point | What SYSPRO's notice says |
|---|---|
| What ends | The Initial License Fee and Annual License Fee model, for all customers |
| What replaces it | A named user, subscription based platform model |
| US expiry date | December 31, 2026. Outside the US, October 31, 2026 |
| After that date | A new subscription agreement is needed to keep using the software |
| What the subscription includes | The full SYSPRO module entitlement, not only the modules in your current license |
| Initial license fees already paid | Do not carry forward as a perpetual right of access |
| If you do not move | Plan a transition to an alternative before the expiry date. You have the right to export your data |
Named user is the part that changes the bill for a small plant. A shop that shared a handful of concurrent seats among fifteen people now counts each person who logs in. SYSPRO's notice tells customers to ask their account manager or partner for subscription options, and it publishes no price.
Why small manufacturers look for a SYSPRO alternative
SYSPRO is a capable ERP with a long record in manufacturing. The plants that look elsewhere usually hit one of these.
- The license they bought years ago ends on December 31, 2026, and the subscription quote counts every named user
- There is no price on the site. SoftwareConnect estimates 150 to 250 USD per user a month and ERP Research 75 to 200 USD
- New buyers face a project. ERP Research puts implementation at 30,000 to 500,000 USD and three to six months
- The scheduler lives inside the ERP. SYSPRO's finite capacity scheduling works from SYSPRO jobs, routings and resources, so it is only as good as the data kept in the whole system
- A 15 person plant uses a small part of it. SoftwareConnect notes that the feature set brings a steep learning curve for new users
If most of that fits, the choice is not SYSPRO against another ERP. It is whether you need an ERP sized system to know which order will ship late.

What SYSPRO costs next to a flat per plant price
Take a 15 person plant where ten people need to log in: the owner, a planner, purchasing, the office, sales and five shift leads. Under a named user model each of them is a subscription.
| Cost line | SYSPRO, third party estimates | ProductionPlanning.ai |
|---|---|---|
| Subscription, year one, ten named users | 9,000 USD at 75 USD per user to 30,000 USD at 250 USD | 894 USD on Line, 2,574 USD on Plant, paid yearly |
| Implementation for a new customer | From 30,000 USD per ERP Research | None |
| Year one total for a new customer | About 39,000 to 60,000 USD | 894 to 2,574 USD |
| Operators who only read the plan | More named users, or printouts | Included |
| Time to first published schedule | Three to six months per ERP Research | An afternoon |
None of these is a SYSPRO quote. An existing customer has already paid for implementation, so the number to get in writing is the yearly subscription for your real named user count, set against what you paid in annual license fees. For the full three year arithmetic see our SYSPRO ERP pricing article.
Where SYSPRO is the better choice
We would rather you buy the right system. Stay with SYSPRO, or choose it, if any of these applies.
- You run financials, inventory, purchasing and production in SYSPRO today, the data is clean and people use it. Moving an ERP to save on seats rarely pays
- You need lot traceability and compliance in the same database as production, as food, chemical and automotive suppliers do
- You manufacture and distribute, across several warehouses or sites, and want one system for both
- You have 50 or more employees and a team that can own an ERP
- The new subscription gives you modules you were about to buy anyway, since the notice says it includes the full module entitlement
For a mid sized manufacturer with those needs, SYSPRO is a mature ERP with a partner network behind it, and the subscription may be a fair trade.
Where a dedicated scheduler for small plants wins
- A published price, 149 USD per plant a month on Line and 429 USD on Plant, with monthly plans you can cancel
- Unlimited users, so nobody counts named seats when a shift lead or a salesperson needs to see the plan
- Finite capacity on every machine and shift, holidays and maintenance windows included, on every plan
- Projected finish dates for every open order, and the week's bottleneck named with the jobs it will make late
- Setup times per product family and automatic grouping of similar jobs on Plant
- Runs in the browser next to QuickBooks, a small ERP or a spreadsheet, with no server and no rollout
The clearest fit is a plant of 5 to 60 people that wants the schedule right without taking on an ERP project. See how it handles capacity on our capacity planning software page and the plan per work center on shop floor scheduling. If you are weighing other mid market systems, we set out the same arithmetic on our Infor VISUAL ERP alternative and Global Shop Solutions alternative pages, and the broader case on manufacturing ERP alternative.
How to decide before December 31, 2026
1. Get the subscription quote in writing
Ask your SYSPRO partner for the yearly cost at your real named user count, and for the renewal terms. That is the number every alternative has to beat.
2. Export open jobs and routings
Export open jobs with part, quantity and due date, and the operations with setup and run times. SYSPRO's notice confirms your right to export your data. Plant imports a spreadsheet directly.
3. Run the schedule next to SYSPRO for a week
Add your work centers and shifts, about an hour for a 20 machine plant, and compare the late order list and the bottleneck with what you see today. If the two agree, you know what a scheduler alone can do for you.
4. Choose the smallest change that fixes the problem
If you stay on SYSPRO, you can buy fewer named users and put the schedule on every screen through us. If you leave, pick the accounting and inventory system first, and keep the schedule running through the move so shipping does not stop.
Questions people ask before choosing or leaving SYSPRO
What is the best alternative to SYSPRO?
It depends on what you are replacing. Buyers who need a whole ERP usually compare SYSPRO with Epicor Kinetic, SAP Business One, NetSuite, Acumatica and ECI M1. If the real problem is late orders in a plant of 5 to 60 people, a dedicated finite capacity scheduler fits better: ProductionPlanning.ai starts at 149 USD per plant a month with unlimited users. Our best production scheduling software roundup compares eleven tools with real prices.
How much does SYSPRO cost?
SYSPRO does not publish pricing. ERP Research estimates 75 to 200 USD per user a month and SoftwareConnect 150 to 250 USD, with small cloud setups starting between 1,500 and 2,500 USD a month. ERP Research puts implementation at 30,000 to 500,000 USD. Ask SYSPRO or a partner for a written quote at your named user count.
Is SYSPRO ending perpetual licenses?
Yes. SYSPRO's formal notice of July 15, 2026 says it is discontinuing the Initial License Fee and Annual License Fee model and will sell only a named user subscription. Current licenses stay valid until December 31, 2026 for US customers and October 31, 2026 elsewhere. After that, access needs a new subscription agreement.
Does SYSPRO have finite capacity scheduling?
Yes. SYSPRO's Manufacturing Operations Management product includes finite capacity scheduling that considers people, machines, tooling and materials, with drag and drop prioritizing. It works from SYSPRO's own jobs and routings, so it needs the ERP kept current. ProductionPlanning.ai schedules from a spreadsheet import with no ERP behind it.
Is SYSPRO good for small manufacturers?
It can be, for the larger end of small. ERP Research places SYSPRO with companies of 50 to 500 employees, and SoftwareConnect rates it for 10 to 500. A plant of 10 to 30 people will use a small share of the modules and still pay per named user, which is why many of them schedule in a separate tool.
Can I use ProductionPlanning.ai together with SYSPRO?
Yes. Export open jobs and routings from SYSPRO to a spreadsheet, import them on the Plant plan, and publish the schedule to the floor. SYSPRO keeps the financials, inventory and purchasing. The floor reads the plan without a SYSPRO login, so you only pay named users for people who work in the ERP.
